Educators Now is a leading education firm that provides substitute teachers and school staff on a temporary, long-term, or permanent basis. The firm is dedicated to closing the teacher vacancy gap each year while assisting with day to day staffing of childcare, grade school, after school programs and more.
Challenge
Educators Now was struggling internally with managing and communicating with their contractors and customers. Writing emails and text messages by hand each morning took the Educators Now team hours and keeping track of the status of each contractor and customer account was solely based on team members memory.
These activities were hindering Educators Now’s productivity, capacity, and ability to grow. On top of all that, they were losing money every quarter by not using the CRM they purchased under contract.
Surthrive was responsible for designing an end-to-end workflow solution that streamlined Educators Now marketing operations and processes. We were tasked with designing standard operating procedures, optimizing their CRM, and implementing automation tools to improve collaboration.
Solution
Outlining The Process:
Surthrive evaluated Educators Now’s existing contractor onboarding process and customer sales funnel to identify the bottlenecks and gaps that were time consuming and preventing them from reaching their goals.
After carefully analyzing Educators Now’s existing workflow via a digital audit, Surthrive crafted the most ideal workflow for onboarding, managing, and retaining their contractors and customers by creating (1) Standard Operating Procedure (SOP) and (1) Customer Journey Map.
These two workflows acted as a visual roadmap that guided the Educators Now team step-by-step internally on how they will reach their desired goals more efficiently.
CRM Optimization:
Based on the outlined processes created for Educators Now, Surthrive reconfigured their existing CRM, HubSpot, to create a more user-friendly experience to make collaborating more efficient.
Surthrive organized deal stages, created lead generation forms, connected calendars for meetings and created new pipelines for sales reps all within HubSpot.
Automation:
By combining Educators Now’s desired workflow with HubSpot’s automation capabilities, Surthrive automated Educators Now’s workflow by triggering actions based on their contractors and customers behaviors.
Surthrive scheduled time-based emails that were automatically sent at each stage of the onboarding process and customer journey, assigned leads to account reps based on geographical location, and notified team members of activities and tasks that needed to be completed.
Results
As a result of Surthrive’s marketing automation services, Educators Now was able to experience rapid growth with 170 new hires within 5-months.
